Do not wait for the expiry month

A licence expiry date should be treated as a planning deadline, not the date on which the renewal process begins. Contractor details and supporting documents can take time to collect, especially when several contractors are being managed at the same establishment.

Start with the existing licence

Before preparing renewal documentation, review the existing licence carefully. Check the contractor details, validity period, establishment information and workforce details against the current position at the site.

Check the actual workforce

One of the most common issues is a difference between the workforce originally considered and the workforce actually deployed. A contractor may have started with a small team and gradually increased deployment. Those changes should be identified before the renewal is prepared.

Review the supporting documents

The renewal process should not begin with a last-minute search through old emails and files. Maintain a checklist of the documents normally required and confirm their availability well before the deadline.

Assign responsibility clearly

Contractor compliance becomes difficult when everyone assumes somebody else is tracking the renewal. The contractor, principal employer and internal compliance team should know who is responsible for collecting documents, reviewing them and following the renewal until it is completed.

Maintain a central renewal tracker

A simple tracker can contain the contractor name, licence number, expiry date, current workforce, document status, renewal initiation date and final status. It gives the compliance team one place to check which licences need attention.

Keep the renewed document accessible

Once the renewal is completed, the updated document should be placed in the current compliance file. Old documents may still be useful for historical reference, but the current licence should always be easy to locate during an audit or inspection.

Plan before the deadline

The simplest way to avoid renewal pressure is to work backwards from the expiry date. Early preparation gives enough time to correct missing information and follow up with contractors without affecting normal site operations.
